Genie is a fully integrated Appointments, Billing and Clinical Management software program for Australian health professionals, and specialists in the United Kingdom and New Zealand.
-
Note: Version 7.6.5 and above is supported for ReferralNet integration.
The ReferralNet Agent must be installed on only one Genie computer in the practice and it SHOULD NOT be the server. It should be installed on the device where the practice administrator/manager uses. If there is only one Genie computer in the practice, then this is not applicable.
It is recommended that ReferralNet Agent is installed as a SERVICE.
ReferralNet Agent must be configured in “Non-Interactive” mode with Genie in a network environment, as there can be only one device where ReferralNet is installed and the Interactive Pop-up may not be on the machine where the letter is being written. Consequently the Genie address book must be populated with the ReferralNet user ID in the Genie Address book.
A letter can be generated on any workstations (without the ReferralNet agent installed) as long as they are linked to the same Genie server, which is connected to the workstation installed with ReferralNet.
The ReferalNet Username needs to be populated in the following address books in Genie: The Sender and The Recipient.
If there is an error messages in Genie's 'Correspondence Log' (screen top) stating 'ReferralNet folders found but Genie's xxxx service is not running', just ignore this error message. Genie will fix this error message in the next release.
Limitations:
(Source: Genie http://www.geniesolutions.com.au/manual/HTML/electronic_correspondence_send.htm)
Only one instance of ReferralNet can be running on the network.
The "Incoming" and "Outgoing" folders must not exist on the server.
There must not be more than one "Incoming" and "Outgoing" folder on the network.
If ReferralNet is running on the server, you will need to consider moving it to a client machine, where you would create the appropriate "Incoming" and "Outgoing" folders. Configure the Healthlink program to use these two folders for it's correspondence.
In the Genie installation directory, create the ReferralNet folder (must be exactly ReferralNet and no other) and in that folder, create the 2 sub folders, Incoming and Outgoing.
Shut down Genie and restart it.
Perform the following checks:
After you have restarted Genie, it should automatically create several sub folders under the ReferralNet folder created earlier. (note the Errors and Processed) was automatically created by Genie on restart.

Click
Correspondence Log on the
Open menu. Note that if BLUE text = successful and RED text = not successful.

* Don't forget to add and configure the additional action by following the agent backup scheme.
* If you are using ReferralNet Agent version 3.3.0 and above, use the Archiving Feature instead.
* Genie automatically generates acknowledgement for referrals/messages received and there is no way to disable it. (confirmed with Genie Support).
User needs to make sure the address book for the sender of the referral/message is populated for the acknowledgement to be sent.
If no acknowledgement is warranted, select the tick box 'Ignore HL7 acknowledgements (they will be deleted)' in the corresponding 'Receive action'.
Click All User Preferences on the File menu.
Double click on a user name in the
User Preferences window.
Click General tab
Enter the user's
ReferralNet User ID for
ReferralNet ID:.
Click Save.
Repeat the steps 2 to step 5 for the other users who are sending referrals using ReferralNet and close the User Preferances window.
Click Address Book on the Open menu.
A
Search Address Book… window will appear to allow you to search for an existing provider in the Genie database.
Double click on a provider from the search result to select the provider.
On the provider's address book entry:
Click Correspondence tab.
Select ReferralNet as the Preferred Method of Communication.
Enter the provider's ReferralNet User ID for ReferralNet.
Click Save.
Repeat the steps above for other providers who are using ReferralNet.

Note: Genie does have the facility to import users into it's address book from a delimited file, however this will only create new entries. There is no functionality to update existing entries. A CSV file of users and a regular update with new users can be provided by contacting ReferralNet support.
Genie checks the Incoming folder for messages every 5 minutes. If it finds a new message, it will import the message into Genie automatically.
To review any incoming letters, click
Incoming Letters on the
Open menu.
Genie will try to match the letter as best it can to a patient in the database. Once the letter is matched by Genie, you can click
Link to link the message to the patient's clinical record. If the patient is not available in the database, you can create that new patient by clicking
New. Once the patient record is created, you can click
Link to link the message.
Click
Clin to open the patient record and see the message attached and displayed within that patient record.

Note:
If the incoming letter is received in RTF format then the linking process is slightly different depending on whether you have the Import RTF Letters to 4D Write ticked in your Practice Preferences under the Carrier Identifiers tab. Ticking this MAY allow the conversion of the RTF files into 4D Write in which case they will go into Open > Incoming Letters and the above linking process will apply. If they come in as blank or scrambled letters then you will need to untick this and Genie will automatically attach them to the patients chart as an image. In order to do this, Genie searches for the correct patient, by matching surname, first name and DOB with the information held within the incoming letter. If it doesn’t find a matching patient, it will create a new patient record using the information within the incoming letter.
Click Patients on the Open menu.
A
Search Patients… window will appear to allow you to search for an existing patient in the Genie database.
Click
Quill Pen icon on the search result window.
Search for a doctor to send the referral letter to if a doctor is not assigned to the patient
Or select a doctor to send the referral letter to if the patient has more than one assigned doctor.
On the letter writter window:
Make sure the recipient has a ReferralNet username configured in the address book.
Click Send via 3rd party.
Select ReferralNet from the Prefers drop down list. (note that if the recipient is configured to have ReferralNet as their preferred messaging delivery method, this step will not be necessary)
Click Ready To Send.
Click Reviewed.
Click
Save.
Genie will create the outbound file and stage it in the
Outgoing folder every 10 minutes. To expedite the SENDING and RECEIVING action of Genie, go to the
Appointment screen and click
(Ctrl+Click) on the
Quill Pen icon to force the file creation (sending)/file import (receiving) immediately.

The following command needs to be run in Genie Solo on the server computer. This would mean no one can use Genie when you are doing this. As such, you may wish to wait until the end of the day or when it is conveninet time to do so.
Shut down the Genie Server.
Start up Genie Solo.
Click Execute Command in the File menu and enter this command line: AddSendingCarrier ("ReferralNet")
Contact Genie Support if you get an error at this stage. If there are no errors and it looks like nothing happened and just returns to the Execute Command window, then the fix is a success.
If you don't get any errors, shut down Genie Solo and restart Genie Server.
Log back into the client machine.
Check to see if ReferralNet is now showing in the Correspondence Log window.
If it is not, please contact Genie Support.
